Terms and Conditions

These terms govern your use of Veritas Agent. Last updated: 06/07/2026.

1. Acceptance of terms

By accessing or using Veritas Agent, you agree to these Terms and Conditions and to our Privacy Policy. If you do not agree, do not use the service.

2. Eligibility and account security

  • You must provide accurate account information and keep it up to date.
  • You are responsible for activity under your account and for protecting login credentials.
  • You must notify us promptly if you suspect unauthorized account access.

3. Service description

Veritas Agent provides AI-assisted chat and related tools, which may include document/image analysis, grounding/search support using third-party retrieved or extracted web context, searchable saved conversation history, optional Meeting Assistant features, optional communication tools, and account customization features.

When Memories is enabled, Veritas Agent may use AI-generated memory retrieval tags to select relevant saved memories for personalization and context routing. These tags are internal metadata and may be added to older saved memories so memory selection remains useful over time.

Veritas Agent may also offer enterprise organization workspaces that separate business data from personal consumer data using organization membership, roles, organization-scoped records, and related security controls.

Public page and account access styling updates do not change your account obligations, acceptable-use responsibilities, subscription terms, or privacy rights.

3A. Enterprise organizations and business workspaces

  • If you create, administer, or join an enterprise organization, your access is controlled by organization membership, invite status, and owner/admin/member role settings.
  • Enterprise organization owners may be required to select and activate a monthly or yearly Enterprise plan before accessing the platform, managing the workspace, or inviting members. If an owner closes the required plan-selection step before activation, the owner may be signed out and asked to complete billing setup on the next sign-in.
  • Organization owners and administrators are responsible for inviting only authorized users, protecting invite links and tokens, removing users who should no longer have access, assigning appropriate roles, reviewing audit logs where available, and managing organization-owned data.
  • Enterprise registration may require accurate company profile and business-identification details, such as ABN for Australian businesses, provided by an authorized organization representative.
  • When an owner removes a member from a business workspace, the member loses access to that organization workspace. This does not delete the member's personal Veritas Agent account or override any organization data-retention rights.
  • An authorized Enterprise owner may permanently delete a company workspace. This removes organization-owned workspace records, member links, invites, billing records, and organization-scoped app data, and attempts to cancel linked Enterprise billing. It does not delete owner or member personal Veritas Agent accounts.
  • Administrators must use permanent business invite deletion only when authorized to remove the invite and related workspace setup records for that business.
  • Invited users may access the business workspace only after accepting a valid invitation and only within the permissions assigned by the organization.
  • Enterprise workspace membership may determine account entitlements, usage-limit display, and whether personal message-usage counters apply while you are working inside the organization context.
  • Content created in an organization context belongs to or is controlled by that organization, subject to the applicable agreement, workspace settings, and law. The organization may retain, export, delete, transfer, or restrict business workspace data even if an individual member leaves.
  • You must not use a business workspace to access, upload, export, or disclose information unless you are authorized by the organization to do so.

4. Acceptable use and prohibited conduct

You agree to use the service only in compliance with applicable law and these terms. You must not:

  • Use the service for illegal, abusive, fraudulent, or harmful activities.
  • Upload/share content you do not have rights to process, distribute, or disclose.
  • Record, upload, transcribe, summarize, or process meetings, calls, conversations, or other audio unless you have any required consent, authority, or lawful basis from all relevant participants.
  • Attempt to gain unauthorized access to systems, accounts, or data.
  • Interfere with platform reliability, integrity, or security protections.
  • Automate high-volume or abusive access without express authorization.

5. User content and responsibility

You are responsible for all prompts, files, emails, links, and other content you submit or generate using Veritas Agent. You represent that you have the required permissions for all data you provide.

6. AI outputs and decision responsibility

AI-generated content may be incomplete, outdated, or incorrect. You are responsible for reviewing and validating outputs before relying on them for legal, financial, medical, security, operational, or other high-stakes decisions.

Composer mention commands, including @Documents, @Contacts, and Scheduled Research creation, are convenience shortcuts for adding context or opening reviewable AI-assisted workflows. They do not change your responsibility to review prompts, selected files, recipients, schedules, connected-tool actions, and resulting AI outputs before use.

When you request actions through connected tools, Veritas Agent may use AI-generated internal plans to decide whether follow-up commands are needed to complete the request, including after search or integration results are synthesized. Connected-tool actions may include preparing or sending email, searching or updating supported integrations, loading Google Calendar events in the calendar view, and sending Slack messages when you ask for those actions and the required account connection is available. Google Calendar connection is used to load and display your calendar in the app where the calendar view is available to your account; this view may be limited to administrator accounts. @calendar chat mentions prepare an internal calendar request payload only and do not retrieve events from chat. Veritas Agent does not create or delete calendar events through chat commands. Veritas Agent asks for confirmation before disconnecting an account. You remain responsible for reviewing the resulting output and any draft or connected-tool action before relying on it.

Scheduled Research is an optional recurring research and email feature. You must review the schedule before activating it, including the browser-detected timezone used for local delivery times, keep its topic and timing accurate, and may pause, manually trigger, or delete it at any time. Saved schedule limits depend on your plan: Free includes up to 2 schedules, Pro up to 5 schedules, and Ultra up to 10 schedules. Administrators may create additional schedules for operational use. When Memories is enabled in your settings, Veritas may use your saved memories to personalize a report's relevance and framing; disabling Memories stops that use for future runs. Scheduled content, including its email header, title, introduction, and body content, is generated from current search results and AI synthesis; length, depth, and coverage may vary based on available sources, model behavior, service limits, and the saved brief. Scheduled runs may be included in operational AI usage analytics. They can be incomplete, inaccurate, delayed, or unavailable. They are informational only and must not be treated as professional, legal, medical, financial, or other specialist advice.

Internal retrieval labels, including labels and density metadata for granular document sections, concise image tags, factual summaries, human-readable image display labels, short prior-message snippets, and tag summaries, and other AI-generated context-routing metadata are used to help select relevant conversation context and may be incomplete, approximate, or corrected over time. Image display labels do not change the original stored upload filename.

7. Meeting Assistant, recordings, transcripts, and summaries

  • Meeting Assistant is an optional feature that may capture microphone audio, desktop/system audio where available, and related metadata to generate transcripts, timestamped summaries, key moments, action items, and other notes.
  • You are solely responsible for complying with recording, surveillance, workplace, confidentiality, privacy, data protection, and communications laws that apply to your meetings, calls, conversations, jurisdiction, workplace, or participants.
  • You must notify participants and obtain consent where required before recording, uploading, transcribing, summarizing, storing, sharing, or replaying meeting audio or generated meeting notes.
  • Do not use Meeting Assistant for privileged, confidential, regulated, health, biometric, child-related, or highly sensitive discussions unless you are authorized to do so and understand the risks.
  • Generated transcripts, timestamps, summaries, action items, and key moments may be inaccurate, incomplete, misattributed, or approximate. They are not official minutes, certified transcripts, legal records, or compliance records unless separately verified by you.
  • Generated meeting notes and transcripts may receive AI-generated section labels and retrieval metadata to support organized follow-up questions. These labels may be incomplete or approximate and should be reviewed with the underlying meeting content.
  • Saved meeting audio, transcript data, summaries, and related operational AI usage metadata may be stored with the related conversation and may be deleted through conversation/account deletion workflows as described in the Privacy Policy.

8. Files, sharing, and visibility

Some features can create shareable/public visibility contexts, such as generated documents, downloadable exports, shared links, style publication workflows, or support attachments. You are responsible for reviewing generated files before use and for what you choose to share and with whom.

9. Support, feedback, and collaboration requests

If you submit a bug report, feature request, general support request, or collaboration request, you are responsible for ensuring the submitted text, screenshots, and contact details are accurate and do not include passwords, payment card numbers, private keys, or content you are not authorized to share. Veritas Agent may use submitted support details and related app context to triage issues, assess product ideas, respond to requests, and improve the service.

10. Email tool responsibilities

If you use in-app email features, you are responsible for recipient permissions, lawful use, and message content. Veritas Agent may use third-party infrastructure to relay email on your behalf.

10.1 Google Calendar availability

Google Calendar viewing and related integration controls may be limited to administrator accounts while integrations are not generally available. If you have access to these features, you are responsible for ensuring you are authorized to connect and view the relevant calendar account.

11. Billing and subscriptions

  • Paid plans are processed through Stripe and subject to the plan/pricing terms presented at checkout.
  • Enterprise organization billing may be associated with the organization rather than an individual consumer account, including organization billing status, active member seat counts, pricing-band changes triggered by accepted or removed members, invoice previews, and admin-led checkout or billing-management records.
  • Enterprise organization access and member invitations may depend on an active, trialing, or otherwise accepted billing status as determined by Veritas Agent and Stripe subscription records.
  • Enterprise purchases may be completed through contact-sales or administrator-led workflows. The person completing the purchase or billing setup represents that they are authorized to bind or manage billing for the organization and that supplied business details are accurate to the best of their knowledge.
  • Deleting an Enterprise company workspace may cancel the linked Enterprise subscription and remove organization billing records in Veritas Agent. Stripe may retain payment records, invoices, receipts, and compliance records according to Stripe's terms and applicable law.
  • Subscription state, billing interval, and entitlements may change based on payment status, cancellation, or plan updates.
  • You are responsible for maintaining accurate billing details and reviewing Stripe-hosted checkout/portal terms as applicable.

12. Availability and service changes

We may modify, suspend, or discontinue features at any time, including introducing limits, changing integrations, or updating product behavior. Usage analytics, quota controls, context-token savings analytics, and internal capacity planning may rely on provider-reported or estimated AI token metadata. We do not guarantee uninterrupted or error-free availability.

13. Third-party services

Veritas Agent relies on third-party providers (including AI, data, search, payments, email, and geocoding services). Their service availability and terms may affect your experience.

14. Suspension and termination

We may suspend or terminate access where necessary for security, abuse prevention, legal compliance, or violations of these terms. You may stop using the service at any time.

15. Disclaimer of warranties

The service is provided on an "as is" and "as available" basis, without warranties of any kind to the maximum extent permitted by law.

16. Limitation of liability

To the maximum extent permitted by law, Veritas Agent and its operators are not liable for indirect, incidental, consequential, special, punitive, or exemplary damages, or for loss of profits, data, goodwill, or business opportunities arising from your use of the service.

17. Changes to these terms

We may revise these Terms and Conditions at any time. Updated terms become effective when published. Continued use after publication means you accept the updated terms.
